Who can open the room and accept it afterwards?
For example, a tenant may control the workshop while the building team controls the loading door. Put both contacts and the usable access time on that work order.
The same order should say who moves stock, who isolates fixed equipment and who can inspect the room when cleaning finishes.
The local site contact connects the work order to the room
A local contact can explain when the workshop closes and whether its loading door remains shared with dispatch. That detail is more useful to the quoting company than a portfolio-wide access note.
If another contractor blocks the room or an area stays occupied, record the exception against that property rather than losing it in a central email chain.

Local contacts should confirm keys, permits, tenant communication and service routes. Central teams can then compare methods and records without expecting every property to use the same timetable or preparation.
The record should name cleaned surfaces, exclusions and any access limitation. Maintenance defects are passed to the relevant team instead of being described as incomplete cleaning. This gives the next facilities manager a clear history for repeat work.
Comparing quotations by included areas and methods
Facilities teams can compare suppliers more fairly when every quotation names the same floors, plant exteriors, high structures and access preparation. A single total for an entire building can hide exclusions and make later variations difficult to understand.
For repeat work, review the completion note before raising the next order. It may show that one area needs more frequent attention while another should move to a different method or maintenance action.
Where tenants or production managers approve local access, keep their current contact details with the order. Central procurement can arrange the service, but someone at the building still needs responsibility for making each area available and checking it afterwards.
An existing facilities programme should provide the access, approval and reporting arrangements for each building. The cleaning company can then decide how the local task fits that wider plan.
An independent cleaning company may survey several problem areas together, then price them as separate zones when their methods, access or local owners differ.
For a multi-building order, keep the full address and local area name on every line. Similar plant-room labels across different properties are otherwise easy to confuse.
